How System Plumbing and Gas handles personal information collected through this website, over the phone, and in the course of providing plumbing, gas and fire services.
This privacy policy explains how System Plumbing and Gas (“we”, “us”) handles personal information.

We handle personal information in a way that is consistent with the 13 Australian Privacy Principles under the Privacy Act 1988 (Cth) and with the Notifiable Data Breaches scheme in Part IIIC of that Act.

We work across Perth Metro & surrounding areas. We have not published a shopfront address on this website.
2. What personal information we collect
The information we collect depends on how you deal with us. On this website, that is:
2.1 Get a Quote form
When you use the Get a Quote form we collect:
- name
- email address
- phone number
- suburb (if you provide it)
- which system or service you say needs attention
- comments you choose to add
- your confirmation that you are happy for us to contact you about the enquiry
2.2 Contact form
When you use the contact form (including a careers expression of interest) we collect name, email address, phone number, and the message you send. Careers submissions are marked as an expression of interest. Forms are sent to Admin@systemplumbingandgas.com.au.
2.3 Phone, email and in person
If you ring 0412 808 356 (the same number for office hours and emergencies), write to Admin@systemplumbingandgas.com.au, or speak to us on site, we collect the details you give us so we can respond and, if you become a customer, so we can do the work.
2.4 Website analytics
Google Analytics 4 (delivered through Google Tag Manager) may collect technical data: IP address, approximate location derived from IP, device and browser type, pages viewed, referring site, and similar usage data. Analytics is on unless you turn that category off in Cookie settings. See the cookie policy.
2.5 Service and customer records
If we do work for you we keep job history, site details, correspondence, invoices, payment records, and any certificates or reports we produce — what we need to perform the contract, meet record-keeping duties, and handle warranty or insurance queries.
2.6 Job applications
If you apply for work by email or through the careers form on this website, we collect the details you send (typically name, contact details, and any resume or message you attach). We do not need sensitive information unless you choose to provide it or a licence requirement makes a specific check necessary — we will say so at the time.
We do not collect government identifiers (for example Medicare numbers) through the website. We do not require you to provide information we do not need for the purpose at hand.
3. How we collect it
- Directly from you — forms on this website, email, phone, SMS, in person, or through documents you send.
- From someone acting for you — a site manager, builder, or other contractor who books us on your behalf.
- Automatically — through the website, cookies and similar technologies, as described in the cookie policy, and for analytics if that category is on.
- From publicly available sources — for example a Google Business Profile message you send us, or a publicly listed work address you ask us to attend.
- From third parties you involve — for example a referring contractor.
If you provide personal information about another person (for example a site contact), you must have their authority to do so.
If we ever collect information about you from someone else and we are required to tell you, we will do so within a reasonable period unless an exception applies.
4. Why we collect and use it
We collect and use personal information only for purposes you would reasonably expect, including to:
- respond to enquiries and provide quotes
- schedule attendance, attend sites and perform services
- send job-related messages (confirmations, delays, reports)
- process payments and keep accounting records
- consider job applications
- improve and secure the website (including understanding aggregate traffic, where analytics is on)
- meet legal, insurance and professional obligations
- handle complaints and warranty issues
We do not sell personal information.
If we want to use personal information for a purpose that is not related to the purpose of collection (and not a use you would reasonably expect), we will ask where the Australian Privacy Principles require it.
5. Direct marketing and opting out
We may use your contact details to send information about our services that is related to your enquiry or to work we have done for you — for example a follow-up or a maintenance reminder.
You can opt out at any time by:
- using the unsubscribe link in an email, where one is provided

We will stop marketing contact within a reasonable period. We may still contact you about an existing job, invoice or safety matter. We will not sell your details to unrelated marketers.
6. Who we disclose it to
We disclose personal information only as needed to run the business, including to:
- our staff and contractors who need it to do the work
- service providers who host the website, send email, or provide analytics
- insurers, professional advisers and financiers when required for a claim, audit or advice
- regulators, courts or police if the law requires it or we have a good-faith belief that disclosure is necessary
- a purchaser of the business, on the usual confidential basis, if we sell or restructure
We require service providers who handle personal information for us to protect it and to use it only for our purposes. We do not disclose personal information to unrelated third parties for their own marketing.
7. Overseas disclosure (Australian Privacy Principle 8)
Some of our service providers store or process information outside Australia. When we disclose personal information to an overseas recipient, we take reasonable steps consistent with Australian Privacy Principle 8.

Those providers are bound by their own terms and, where applicable, mechanisms they publish for international transfers. The Privacy Act may not apply to an overseas recipient in the same way it applies in Australia, and we may remain accountable for that disclosure under APP 8 unless an exception applies.

8. How we hold and secure personal information
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Those steps include:
- access to inboxes and admin tools limited to people who need it
- HTTPS on this website
- passwords and, where available, multi-factor authentication on accounts that hold customer data
- industry-standard hosting (Google Firebase) and email (Resend)
No online transmission or storage is completely secure. If you have reason to believe your interaction with us is no longer secure, contact Admin@systemplumbingandgas.com.au immediately.
9. Notifiable Data Breaches (Part IIIC)
If we become aware of a data breach that is likely to result in serious harm to an individual whose personal information we hold, we will assess the breach and, where the Notifiable Data Breaches scheme requires it, notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
That commitment applies under this policy even where a formal obligation is being treated as part of our voluntary alignment with the Privacy Act.
10. How long we keep personal information
We keep personal information only as long as we need it for the purposes set out in this policy, or as required by law (for example tax and company record-keeping).
- unsuccessful job applications: a short period after the role is filled, unless you ask us to keep your details for future roles
- enquiries that do not proceed: a limited period in case you return, then deletion or de-identification
- customer and job records: for the life of the relationship and for a period afterwards to handle warranty, insurance and legal claims
- website analytics: in line with our Google Analytics retention setting (we set this to 14 months where the product allows) and Google’s own retention, when analytics is enabled
When information is no longer required, we take reasonable steps to destroy it or permanently de-identify it.
11. Access and correction
You may ask us for access to the personal information we hold about you, and you may ask us to correct it if it is wrong, incomplete or out of date.
Send the request to Admin@systemplumbingandgas.com.au. We will respond within a reasonable period — ordinarily within 30 days.
We may refuse access or correction in the limited situations the Australian Privacy Principles allow (for example where the request is frivolous, or access would unreasonably affect someone else’s privacy). If we refuse, we will say so in writing and explain how to complain.
We will not charge you for making a request. We may charge a reasonable fee for giving access if the work involved is more than nominal — we will tell you first.

named sp_consent.
Turning analytics off means we do not store analytics identifiers on your device. You can change your choice at any time via the Cookie settings control in the website footer.

We may update this policy from time to time. The “Last updated” date at the top will change. The current version is published at /privacy-policy/.
If we make a change that materially affects how we handle personal information we already hold, we will take reasonable steps to let you know — for example a notice on the website or an email if we have an active relationship with you.
